FINANCIAL
- Prepare budgets and reserve fund plans for building maintenance
- Estimate annual service charges
- Billing and collection of service charges
- Deal with individual leaseholders in the event of non-payment of service charges
- Payment of wages and other invoices
- Budget reporting of income/ expenditure/ cash flow
- Prepare annual draft reports for annual audits�
- Prepare and distribute notices for AGM/ EGM (Annual/ Extraordinary General Meetings)
- Advise on block insurance and other appropriate cover
RELATIONSHIP WITH RESIDENTS
- Respond to enquiries from residents
- Attend general meetings
- Administration of insurance claims
REPAIR AND MAINTENANCE MANAGEMENT
- Preparation of overall maintenance and repair plan
- Deal with day-to-day repairs and maintenance as required
- Advise on major contract work and the use of specialist professionals and contractors.�
LEASE COMPLIANCE
- Ensure compliance with the terms of the lease and the policy agreed with the Board.
LEGAL STRATEGY AND CONTROL
- Develop the property management strategy in accordance with best practice and current legislation
- Liaise with the company�s solicitors where necessary
- Represent the landlord at County Court level, arbitration and Leasehold Valuation Tribunals
- Ensure compliance with risk management and Health and Safety policy
- Maintain good record-keeping
STAFF
- Ensure compliance with employment legislation.
- Prepare job descriptions and provide training for employees
- Prepare job specifications for contractors�
- Supervise the work of employees and regular contractors such as cleaners, gardeners etc.
BOARD SUPPORT
- Advise the Board on management policy, statutory legislation and codes of practice
- Attend and produce minutes at Board Meetings
- Provide status reports on financial, maintenance and legal matters
- Communicate important resident issues to the Board�
- Document management procedures
- Produce a periodic newsletter for residents and other stakeholders
